Introduction
This Privacy Policy describes how NextGen Heating & Cooling handles information when you use this website, interact with its service-request features, or contact NextGen through the options provided here.
Information We Collect
The current website handles three general categories of information:
- information you enter in the service-request form;
- technical and attribution information generated during your visit; and
- records created when a request, consent, or tracked call-to-action is submitted.
Information You Provide
The service-request form is completed in three steps.
- The first step asks for the service you need, how soon you need it, and an optional description of what's happening.
- The second step asks for your name and phone number, and an optional email address. If you provide an email address, you may also choose to opt in to occasional marketing email — see "Marketing Email" below.
- The third step asks for the street address where service is needed, an optional unit, apartment, or suite number, your city, and an optional ZIP code.
When you submit the form, the website records that you agreed to be contacted by NextGen about the request by phone or email.
Technical and Usage Information
The website may process or record limited technical information, including:
- the page from which a service request was submitted;
- campaign parameters and advertising click identifiers present in the page URL, such as UTM values or Google click identifiers;
- a randomly generated browser identifier used to associate website interactions and stored with a service request if you submit one;
- Google Analytics browser and session identifiers, when available and permitted by your Analytics preference, which may also be stored with a submitted service request;
- call-to-action type, page, and related service when a tracked link is used;
- network address information processed temporarily for rate limiting and abuse prevention; and
- page, referral category, and limited browser request information when an automated crawler or recognized AI referral is detected.
How We Use Information
Information handled by the current website is used to:
- receive, review, and respond to service requests;
- communicate about a submitted request by phone or email, including an automatic confirmation email when you provide an email address;
- send occasional marketing email only if you explicitly opt in;
- maintain lead, attribution, and consent records;
- understand which page, campaign, or call-to-action preceded a request;
- operate and secure the website; and
- limit spam, repeated submissions, and other abuse.
Service Providers and Data Sharing
NextGen uses other companies to help operate this website and its service-request and email systems. These service providers process information on NextGen's behalf, under NextGen's direction, and are not permitted to use it for their own independent purposes. Depending on the feature involved, this can include:
- website hosting and infrastructure providers;
- the database and file-storage providers that hold service-request and site records;
- a transactional email provider used to send request-related emails, such as a customer confirmation when you supply an email address; and
- Resend, an email-contact-management provider used to store and synchronize the email address and name of customers who explicitly opt in to marketing email, so that a marketing message could be sent to them if and when NextGen enables that.
This is not a claim that NextGen never shares information — sharing it with the service providers above is necessary to operate the website and is described here for that reason.
The application also supports an optional server-side Google Analytics (GA4) event after a service request has been saved successfully, and a similar Google Ads measurement signal. Both are enabled only when the corresponding technology is configured and only when permitted by your cookie choices below — analytics by the Analytics preference, and advertising measurement by the Marketing preference. When the GA4 event fires, it may include an internal lead identifier, requested service, attribution source, and landing page, and is designed to exclude your name, phone number, city, and ZIP code. Where available and permitted by your Analytics preference, Google Analytics browser and session identifiers may also be used for this event. These application-generated events are separate from Google's own library requests, described below.
Marketing Email
Marketing email is entirely optional. The checkbox offering it is never selected by default, and it is never required to submit a service request or to receive a response about one.
If you check the box and provide a valid email address, NextGen records that consent and may add your email address to a marketing contact list, which is synchronized with Resend as described above. You may unsubscribe at any time using the link included in any marketing email you receive; doing so does not affect communications about a service request you've already submitted.
Maintaining this consented list does not mean marketing campaigns are currently being sent — NextGen may enable actual marketing sends in the future, subject to applicable law.
Data Retention
Retention periods may vary based on the type of record and why it is needed. This policy does not state a fixed retention period for service-request, consent, attribution, or interaction records.
Data Security
NextGen uses technical measures intended to protect website information, including encrypted transport, access controls for administrative features, request validation, and abuse-prevention controls. No internet transmission or storage system can be guaranteed to be completely secure.
Your Choices and Requests
You may contact NextGen about personal information submitted through this website or about your communication preferences, including unsubscribing from marketing email or asking about a request you submitted. Requests are handled subject to applicable law and any steps reasonably needed to identify the relevant record.
Internal Access to Information
Authorized NextGen personnel may access service-request and related information through a password-protected administrative system, for legitimate business purposes such as reviewing, responding to, and tracking requests.
Children's Privacy
This website is intended for people seeking information about HVAC services and is not intentionally directed to children. If you believe a child submitted personal information through the website, contact NextGen using the method below.
Changes to This Policy
This policy may be updated when website practices change or when the final legal terms are reviewed. The date shown at the top identifies the most recent revision published here.
